Who we are
Complete Maintenance Essex Ltd (company number 14073994) is responsible for the personal information described here. Our address is 3 Knighton Road, Romford, RM7 9BS. You can contact us at info@completeessex.co.uk or on 0333 344 3306.
When you contact us
Our enquiry form asks for your name, company, email address and a description of the work. You can also provide a phone number, your role, a site postcode, details of other sites and supporting photographs or documents. Please only send information needed to discuss the work, and avoid including sensitive personal information or residents’ details unnecessarily.
We use this information to respond, discuss your requirements, prepare quotations and arrange or carry out agreed work. We rely on steps taken at your request before entering a contract, the performance of a contract, and our legitimate interests in handling business enquiries and managing our services, as appropriate. Information required for accounting or other legal obligations is processed on that basis.
Where enquiries are kept
Website enquiries are stored in our WordPress dashboard. We also attempt to send the enquiry details and any uploaded attachments to our business email address. Uploaded files are held outside the public website and are available through access-controlled administration. We use hosting and email providers to operate these services. Information may also be shared with people who need it to arrange or carry out the work, such as an authorised member of our team or a relevant service provider.
We do not use the enquiry form to sign you up to a mailing list. We do not sell enquiry information.
How long we keep information
We keep information for as long as it is needed for the enquiry, the work and related business records. Retention depends on whether the enquiry becomes a job, ongoing customer requirements, accounting obligations, and the need to deal with questions, complaints or legal claims. You can ask us about the information we hold or request its deletion; some records may need to be retained for legal or business reasons. Copies in our business mailbox and backups are managed separately from the website records.
Website cookies and technical information
The website and hosting services process technical information, such as IP addresses and request logs, to operate the site, prevent abuse and investigate problems. The enquiry form uses a short-lived security cookie to protect submissions and prevent accidental duplicates. You can choose whether to allow optional analytics through the website’s cookie controls. Browser settings also let you control cookies.
If you allow analytics, we use Google Analytics and Matomo to understand visits and how people use the website. Google Analytics also measures completed enquiry submissions and clicks on our business phone links. We do not send the contact details, messages, attachments or enquiry references from your form submission to Google Analytics. We also use session storage to remember the page and marketing source of your visit and prevent duplicate enquiry counts. Where available, the landing page, referring website and campaign labels are saved alongside your private enquiry and included in our business email notification. This helps us understand which marketing leads to relevant enquiries. These source details are not collected if analytics is declined.
Your rights
Depending on the circumstances, you can ask to access, correct or delete personal information, restrict its use, object to processing based on legitimate interests, or receive a portable copy. Contact info@completeessex.co.uk to make a request or raise a concern. We may need to confirm your identity before providing information.
You can also complain to the Information Commissioner’s Office, the UK data protection regulator. If you have questions about a service provider, international processing or how a particular record is used, please contact us so we can explain the arrangements relevant to your enquiry.
